1.               Minutes of previous meeting

2nd meeting of the Arts forum to discuss the event ‘Take Part in Art’ to be held on 25th April at Norton Priory.  Notes of previous meeting were discussed and name, date and venue confirmed.  Start time has still to be set as 10am start may be too early in view of set up needed.  This will be finalized later.

2.               Venue

A visit was made by Kath to Norton Priory and a very bad sketch submitted to try to explain the different areas available.  The problem with outdoor areas is the possibility of bad weather.  The areas closest to the museum are protected areas and do not give us the option of putting up marquees and the croquet lawn is quite a distance from the main building.  Gwen will check with Steve if there is a possible outside area closer to the museum that we could use.  Suggestion was made to use pods (series of marquees around the croquet lawn) – contact Matt Uren for more details.  The portacabin could be used for the performers to change.

3.               Transport

There are potential problems around free transport with not knowing what is required and not being able to fulfill the need.  It was therefore agreed that buses will be provided on a booking system.  Several pick up points will be identified in Widnes and Runcorn.

4.               Event planning/contribution

Each member was given a planning sheet and asked to fill in the details as soon as possible.  Contributions were outlined as follows:

Centre 8 – for the love of the game performance which lasts about ˝ hour.  They will need a projector/computer with sockets and a display of the memorabilia.  They could possibly perform twice in the day.

Hough Green Millenium Arts – community quilt.  It was decided that we could begin the production of a Halton Together quilt on the day with squares representing the themed or community groups.  Kath will provide Sue with details of the areas/themes for her to formulate ideas.  It is hoped that this quilt could be continued after the event with several groups choosing to complete one part of the project.

Traveller education service – a static display with photos will be submitted.  It was suggested that the children could possibly run a workshop to allow participation from the members of the public.  Barbara will explore this possibility.

Halton FM/Halton Film Society – workshops, displays, recordings (video nation) of stories about Halton.  The network will be on air prior to the event so it may be possible to pre-record interviews and play them back on the day.  Mixing/scratching records can be run as a workshop.  Local musicians will be invited to play.

HBC – Arts Team – singers, groups, years ahead drama group to run twice in the day.  The council can offer display boards for use on the day.  Suggestion also to have an ideas tree – a place where people can post ideas for Halton Together.

St Mary’s community Drama Group – music hall/performance for about 40 minutes.  A stage area is required.

HBC – Arts for Health – Ruth brought a member of scribes & scribblers (Dorrie McGuinness) who is happy to submit a poetry display.  They could have poetry reading and have a tutor running a workshop on poetry.

5.               Costs

By the next meeting we need to have estimates of costings for each project so that we can plan the budget.

6.               AOB

v              Advertising – The event is already being advertised on the Norton Priory website as well as in their flyer.  It is expected that flyers will be produced and displayed in libraries, schools, and other public places.  It will also be advertised on the Halton Together website and about two weeks before we will look to advertise in the local press and on the radio.

v              Date and time of next meeting

Monday 16th Feb at 10.00am – Norton Priory
